POSITION TITLE: Attendance Secretary
REPORTS TO: Building Principal
LOCATION: McMillan Early Learning Center
QUALIFICATIONS:
- High school diploma required; Associate’s degree preferred
- Minimum of 2–3 years clerical or office experience, preferably in a school setting
- Strong computer skills, with proficiency in Google programs
- Strong communication and organizational skills
- Such alternatives to the above qualifications as the Board may find appropriate
PURPOSE STATEMENT
The School Building Attendance Secretary is responsible for maintaining accurate student attendance records and supporting daily office operations within the school building. This position serves as a primary point of contact for attendance-related communication with families and ensures compliance with district and state attendance requirements.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Attendance Management and Reporting
- Maintain accurate daily student attendance records in the district’s student information system
- Monitor and verify absences, tardies, and early dismissals
- Communicate with parents/guardians regarding student absences and attendance concerns
- Prepare and distribute attendance letters and required notifications
- Generate attendance reports for administration and district reporting
- Ensure compliance with state attendance laws and district policies
- Track and document truancy-related information as directed by administration
Front Office and Student Support
- Serve as the primary point of contact for students, families, and visitors
- Answer phones, receive messages, and respond to inquiries from staff and parents
- Assist with student check-in and check-out procedures
- Maintain confidentiality of student records and information
- Support building administrators with attendance-related documentation and meetings
Records and Administrative Support
- Maintain organized and accurate student files related to attendance
- Assist with enrollment, withdrawal, and transfer documentation as assigned
- Support data entry and record verification for state reporting requirements
- Provide clerical assistance to building administration as needed
- Participate in building meetings and professional development as assigned
OTHER JOB FUNCTIONS
- Abide by state statutes, school board policies, and regulations
- Attend meetings as assigned
- Maintain accurate, complete, and correct records as required by law and district policy
- Take necessary precautions to protect confidential student information
- Perform other duties as assigned by the Building Principal

- Participation in school events or meetings outside of regular hours as needed

- Consistent and regular attendance is an essential function of this position

TERMS OF EMPLOYMENT: 9 months; 204 days
Background clearance required; the results of which must be satisfactory to the District.
EVALUATION:
Performance will be evaluated by the Building Principal in accordance with district policies and teacher evaluation procedures.
